Program Chair Guidelines

As a program chair for a conference session, you play an important role in facilitating a successful discussion and keeping the session on track. Please follow the guidelines outlined below to ensure a smooth and productive session:

Familiarize yourself with the Session: Before the session, review the session agenda and familiarize yourself with the speakers and their topics.

Introduce the Speakers: Begin the session by introducing the speakers and their topics, and provide a brief overview of the session goals and objectives.

Set Ground Rules: Establish ground rules for the session, such as time limits for presentations, guidelines for audience questions, and expectations for respectful behaviour.

Keep the Discussion on Track: During the session, keep the discussion on track by ensuring that speakers stay within their allotted time and addressing any off-topic comments or questions.

Encourage Audience Participation: Encourage audience participation by facilitating a question-and-answer period or soliciting comments from the audience.

Maintain Control: Keep the session on schedule and under control by managing the time, keeping speakers on topic, and intervening if necessary to prevent disruptions or conflicts.

Wrap up the Session: Conclude the session by summarizing the key points and takeaways, thanking the speakers and audience, and encouraging further discussion and collaboration.
